What to bring with you

Getting ready to move to University can be an exciting time, but it can also be overwhelming thinking about what you need to bring with you.

We’ve put together a handy Moving-in checklist to help you plan what to pack, and more importantly what you don’t need to bring with you. Plus, some top tips on what to do once you first arrive at your accommodation.

You may also want to save yourself some packing space and money by taking a look at the Gift it, Reuse it scheme details below.

The good news is that you can save money and packing space by using the Gift it, Reuse it scheme. This is where last year’s students donated their unwanted items to be reused by others, for free. Find out more on the Gift it, Reuse it page.

When to move in

September arrivals - Welcome Weekend will be Saturday 13 to Sunday 14 September 2025.

While your contract start date may show as 14 September, you are able to arrive on any Welcome Weekend day (including Friday 12 September if you are in one of the residences listed below) at no additional charge. Just select your required arrival day by changing the date in the dropdown menu when you go through our Arrivals system.

Students joining the Bachelor of Medicine, Bachelor of Surgery (BMBS) programme must arrive at their accommodation on Sunday 7 September 2025 due to the extended length of their course in 2025/26.

You may be able to arrive on Friday 12 September 2025 if you’re moving into one of the following residences:

  • Birks Grange Village Blocks F-Q (self-catered accommodation)
  • Duryard
  • East Park
  • Lafrowda
  • Moberly
  • Rowe House
  • Spreytonway
  • St. German’s

Friday tends to be a quieter day for arrivals so some students may prefer to select this day for a more relaxed experience.

Booking your arrival slot

We operate a timed arrival system at our residences, because of the high number of students arriving in Exeter during the same period and because of the very limited parking.

Although your contract start date is Sunday 14 September 2025, subject to availability you can book an arrival slot for Saturday 13 September (or Friday 12 September for the residences listed above), subject to availability and at no additional nightly charge.

If you’re arriving after Welcome Weekend, you still need to book an arrival slot via our system. Just use the dropdown menu to change the arrival day when you're reviewing available slots.

Process for booking your arrival slot

  • First – accept your accommodation offer. You’ll then receive your Contract Formation email.
  • You'll need to complete your online Student Welcome Induction which helps prepare you for living in your accommodation. Only after you have completed this will you be able to book an arrival slot. You can find the link to your Welcome Induction by going to the My Applications and Bookings page in your accommodation account. When you will be able to access the Welcome system depends on when you accepted your accommodation offer - please see the table below for more details:

Student type Offer accepted and Contract Formation Email received by Welcome system opens Arrivals system opens (Welcome Induction must be completed first)
Undergraduate On or before 7 August 2025 Tuesday 22 July 2025 Wednesday 23 July 2025
Undergraduate On or after 8 August 2025 Tuesday 26 August Tuesday 26 August 2025

Postgraduate and all other student types Any date through summer Tuesday 22 July 2025 Wednesday 23 July 2025
  • Please note: although the systems will be live from the above dates, you will need to wait until you receive an email from us confirming that you can access the systems to complete your online Student Welcome Induction and book your arrival slot. You can find the link to your Welcome Induction by going to your accommodation account. Click 'View' on your homepage, select the session of your booking (for most students this will be 2025-26) and follow the next steps. You cannot book your arrival without completing the Induction first.
  • Once you have completed your Welcome Induction you will be asked to book a 30-minute arrival slot at your accommodation during the daytime. If you need to arrive later, an evening slot may also be available. The system defaults to arriving on Sunday 14 September, but just use the drop down menu on the page to change the arrival day and see all available slots.
  • If you’re planning to arrive by car, you’ll need to print a permit for your vehicle during the booking process. This permit is only valid for the duration of your arrival slot and cannot be used any other time.
  • Vehicle registration details can be changed by hand on your printed permit if necessary; you do not need to advise us or update them on your booking.
  • If you are arriving by taxi, select the "arriving by car" option and put "taxi" in the vehicle registration details.

Arriving outside of reception opening hours

  • Over the Welcome Weekend, most of our receptions operate extended opening hours, so you should check the times for your residence here. Wherever possible, please aim to arrive during reception opening hours.
  • If your journey is delayed or your connecting transport means you will arrive when reception is closed, please go to your residence reception and call Estate Patrol on 01392 723999. You will need to wait at your residence reception for Estate Patrol to meet you and issue your key.
  • If you can't make a phone call you can go to the Estate Patrol office which is based in Northcote House (EX4 4QJ), next to the main University reception at the centre of Streatham Campus.
  • Please note: If the Estate Patrol team are dealing with an emergency there could be a delay in them reaching you. Please continue to wait at the residence reception.
  • You will need to see reception the next working day so that they can check you in on our booking system and give you any other relevant information.

Your arrival

  • When you arrive, staff will register your arrival and provide instructions on how to find to your room. Keys must be collected by you as the the resident and not by anyone else who is with you.
  • If you arrive in a vehicle, a space will only be available at the residence at your booked 30-minute arrival time slot. If you arrive early, please wait in a central car park on campus, or take an opportunity to visit the city centre. Details of Council-owned car parks are available here. To give each student enough time to unload and to keep congestion to a minimum, you will need to unload your belongings within your 30 minute slot.
  • You will then need to remove your vehicle from the residence parking area because other students will need the spaces for their own dedicated arrival time. You can however, move your car to one of the central car parks on campus.
  • Car parking attendants will be on hand over Welcome Weekend at the residences to advise and assist you. They will also ensure that vehicles move on after unloading.
  • Please do not bring pets with you (unless you require an assistance animal).
  • If you’re an international student, you may find the University information about travelling to the University helpful.
  • Be prepared to walk into a furnished but bare room! It won't look like home straight away, but once you have personalised it with your belongings and put pictures and photos up on your noticeboard it will feel much more welcoming.

Frequently Asked Questions

Most students will arrive over the Welcome Weekend, however some students choose not to arrive until teaching begins so you may find that not all rooms are occupied when you move into your accommodation.

All rooms are allocated and contracted to students during the summer, so it is not possible to switch to an alternative room over the arrivals period, even if it appears to be empty.

Your accommodation will only be available from Welcome Weekend. This includes the Saturday and (in the case of some residences) the Friday before the start date of your contract. You can arrive on the Saturday (or Friday if applicable) at no additional charge.

If you are unable to travel to Exeter over the Welcome Weekend then please make arrangements to arrive during the following week or weekend.

Storage space is not available for belongings that are sent in advance. If you aren’t bringing all your belongings with you when you arrive, your other belongings should arrive after you have moved in.
